HubSpot onboarding,
done around your process.

We set up HubSpot the way your revenue team actually works: process first, configuration second, training throughout. So day one feels familiar, not foreign.

Four phases. No surprises.

Every HubSpot onboarding we run follows the same shape. You always know what phase you are in and what happens next.

01

Understand

We map how your team actually sells today: lead sources, follow-up habits, handoffs, and where deals stall. Configuration decisions come after this, never before.

02

Design

Pipelines, stages, properties, views, and user roles are designed around your process and written down before we touch the portal, so you approve the plan, not a surprise.

03

Build

We configure HubSpot in stages, import clean data, and set up the first essential automations. You review each stage before we move on.

04

Train and launch

Role-based training for salespeople, managers, and leadership, then a supported launch with routines and check-ins so adoption sticks after go-live.

What onboarding includes.

Six workstreams, each with a clear output you can review.

Process mapping

A documented picture of your real sales process: where leads come from, how they move, who owns what, and what a qualified deal looks like at each stage.

Pipeline and property setup

Deal pipelines, stages, custom properties, and record views built to match how your team qualifies and closes, not HubSpot's defaults.

Data foundation

Clean imports from spreadsheets or your current CRM, with field mapping, dedupe rules, and test imports before anything goes live.

Essential automation

A small set of high-value workflows: lead routing, follow-up tasks, and stage-change alerts. Each with a clear purpose, trigger, owner, and exception path.

Role-based training

Separate practical sessions for salespeople, managers, and leadership, using your real data and your real deals, plus written guides to keep.

Launch and early support

A planned go-live with check-ins in the first weeks, so questions get answered while habits are still forming.

Where HubSpot setups go wrong.

The four patterns we see most often, and the reason our process is shaped the way it is.

Configuring before understanding

Portals built on HubSpot defaults or a template, before anyone has mapped the actual sales process. The result is a system that fights the team instead of fitting it.

Importing dirty data

Spreadsheets dumped in without dedupe or field mapping. Duplicates and junk fields erode trust in the data from day one, and trust is hard to win back.

Automating everything at once

Dozens of workflows switched on before the basics are stable. Leads get double-assigned, inboxes flood, and the team blames the tool.

Training once, at launch

A single demo for the whole company, then silence. Adoption fades within weeks. Training needs to be role-based, practical, and followed up.

What the journey feels like.

Every project moves at the pace your team can absorb, but the shape of the experience is consistent. Here is what you will actually see happening.

First call

A conversation, not a demo

You talk, we listen. We ask how leads arrive, how follow-ups happen, and where deals get stuck. You leave with an honest view of whether HubSpot fits and what onboarding would involve. No slides, no pressure.

Week one

Your process, on paper

We sit with your salespeople and managers and map the real process: stages, owners, handoffs, and definitions. You review a written design for your pipelines and properties before we configure anything.

Middle weeks

HubSpot takes shape

Pipelines, views, and roles appear in your portal in stages you can review. Your existing data comes in cleaned and deduped, and the first essential automations start routing leads and creating follow-up tasks.

Launch week

Training with your real deals

Salespeople, managers, and leadership each get their own practical session using your actual pipeline, not sample data. Everyone gets written guides to keep. Then we go live, together.

After go-live

Check-ins while habits form

The first weeks decide whether HubSpot sticks. We stay close, answer questions, fix friction points, and review adoption with you, so the system becomes everyday work rather than shelfware.

Common questions.

How is this different from HubSpot's own onboarding?

HubSpot's onboarding teaches you the platform. Ours builds it around your business: your process mapped first, your pipelines and data configured for you, and training done with your team's real deals. Many companies do both; they solve different problems.

We already bought HubSpot and set it up ourselves. Can you help?

Yes. This is common. We start with an audit of your current setup, keep what works, and fix what is creating friction: messy properties, unused pipelines, broken automation, and reports nobody trusts.

Which HubSpot hubs and tiers do we need?

It depends on your team size, sales motion, and whether marketing needs sit in the same portal. Part of onboarding is giving you an honest recommendation on tiers, including telling you when a cheaper tier is enough.

Will our data be safe during migration?

Yes. We work with test imports before anything final, keep your source files untouched, and agree on dedupe and mapping rules with you in writing before the real import runs.

What happens after go-live?

Launch includes early check-ins while habits form. After that, many teams continue with focused improvement work: reporting, deeper automation, integrations, or periodic reviews. There is no lock-in.
